How It Works

How does CharityGrantWriter find grants for my nonprofit?

CharityGrantWriter maintains a curated database of 100+ active grants across the US, Canada, and UK. When you complete your organization profile — covering your mission, focus area, location, annual budget, and org type — our purpose-built fundraising agent scans the database and surfaces the opportunities most relevant to your work.

Grant opportunities are updated regularly, and you receive deadline alerts so you never miss an application window.

How does the matching work? What factors does it consider?

Matching takes into account several key factors about your organization and each grant opportunity:

  • Focus area — your mission and program areas vs. funder priorities
  • Geographic location — where you operate vs. where the funder supports
  • Annual budget — whether your org size falls within the funder's typical range
  • Organization type — registered nonprofit, charity, CBO, etc.
  • Deadline urgency — upcoming deadlines are surfaced prominently so you have time to apply

We don't disclose the specific weights or scoring methodology — that's the engine under the hood. What matters is the output: a ranked list of opportunities where your chances of being competitive are highest.

How long does it take to get grant matches?

Matches are generated within seconds of completing your organization profile. You'll see a ranked list of relevant grant opportunities immediately — no waiting, no manual review queue.

How accurate are the match scores?

Match scores are a starting point, not a guarantee. They reflect how well your organization's profile aligns with each funder's stated criteria based on the information you've provided.

Higher match scores indicate stronger alignment — but every grant has its own application process and final decisions rest entirely with the funder. We recommend reviewing the funder's guidelines directly before investing time in a proposal.

Can I search for grants manually?

Yes. The Browse Grants directory lets you explore all grants in our database, filter by region, focus area, and budget range, and search by keyword — independently of your organization profile.

How does the proposal drafting work?

Once you select a grant opportunity, our purpose-built fundraising agent analyzes the funder's stated priorities, focus areas, and grant criteria — then drafts a proposal tailored to that funder using your organization's profile information (mission, programs, impact data, location, and budget).

The result is a structured first-draft proposal you can read, edit, and customize before submitting.

How long does it take to get a draft?

Most proposal drafts are ready in 30–60 seconds. You'll be notified by email when yours is complete if it takes longer than usual.

Can I edit the proposal after it's generated?

Yes. Every proposal draft is yours to edit, expand, and customize however you need. You can also download it as a PDF to work on offline or share with your team.

Are proposals ready to submit as-is?

No. Proposals generated by CharityGrantWriter are first drafts — a strong starting point, not a finished submission.

Important: You must review, edit, and verify every proposal before submitting it to any funder. Ensure all facts, figures, and organizational details are accurate and current. CharityGrantWriter accepts no liability for proposal outcomes, grant award decisions, or submission results. You are fully responsible for the final content you submit.

Think of it the way you'd think of any professional first draft: use it to save hours, but always bring your own expertise and knowledge of your organization before it goes out the door.

Does the fundraising agent use my organization's specific information?

Yes. The fundraising agent draws on the organization profile you provided during intake: your mission statement, focus area, programs, geographic reach, annual budget, and any impact data you've shared. This is what makes proposals tailored rather than generic.

The more detail you provide in your profile, the stronger and more specific the drafts will be.

Can I download proposals as PDF?

Yes. Every generated proposal can be downloaded as a PDF directly from your account dashboard. PDFs are formatted and ready to share with your board, executive director, or grant committee for review.

Is there a free trial?

Yes. CharityGrantWriter offers a free trial that lets you explore grant matches and generate a proposal draft before subscribing. No credit card required to get started — create your profile here.

What does the $149/month subscription include?

The Pro plan includes:

  • Access to 100+ grants across the US, Canada, and UK
  • Unlimited grant matching and browsing
  • Up to 3 proposal drafts per day
  • PDF downloads for all proposals
  • Weekly deadline alert emails
  • Grant tracker to manage your pipeline

How many proposals can I generate per month?

On the Pro plan, you can generate up to 3 proposal drafts per day — roughly 90 per month. In practice, most nonprofits apply to 5–15 grants per month, so this limit won't be a constraint for typical usage.

Can I cancel anytime?

Yes. You can cancel your subscription at any time from your account settings. You'll retain access through the end of your current billing period, and you won't be charged again after that.

Do you offer annual plans?

Yes, annual billing is available and comes with a discount compared to month-to-month pricing. Contact us or check your account settings for current annual pricing.

What happens to my data if I cancel?

When you cancel, your account and data remain accessible until the end of the billing period. After that, your account is deactivated and your data is retained for 30 days before being deleted — giving you time to re-activate if you change your mind.

You can also request immediate deletion of all your data by emailing privacy@charitygrantwriter.com.

Privacy, Data & Compliance

How do you handle my organization's data?

Your organization profile data (mission, focus area, budget, location) is used solely to generate grant matches and proposal drafts for you. It is stored securely, encrypted at rest, and transmitted over TLS.

Intake data is retained for 12 months from last activity then automatically deleted. You can request earlier deletion at any time — email privacy@charitygrantwriter.com.

Is my data shared with third parties?

Your data is never sold or shared with third parties for advertising or marketing purposes. We use a small number of trusted infrastructure providers (hosting, email delivery, payment processing) who process data solely to operate the service under strict data processing agreements.

How is my data processed? Is it used to train models?

No. Your data is never used to train any AI or machine learning models — ours or anyone else's. Your organization's information is used only to generate outputs for you in that session.

This is stated explicitly in our Privacy Policy and reflected in our agreements with all infrastructure providers.

Are you GDPR compliant? (UK & EU users)

Yes. CharityGrantWriter complies with GDPR and UK GDPR. Our lawful bases for processing include contract performance, legitimate interests, and consent (for marketing emails). Cross-border data transfers outside the EEA/UK are covered by Standard Contractual Clauses or the UK International Data Transfer Agreement.

You have the right to access, correct, delete, or export your data at any time. To exercise any right, email privacy@charitygrantwriter.com. We respond within 30 days.

UK users may lodge a complaint with the ICO at ico.org.uk.

Are you CASL compliant? (Canadian users)

Yes. CharityGrantWriter complies with Canada's Anti-Spam Legislation (CASL). Marketing emails are only sent to Canadian users who have provided express consent at signup via an unchecked opt-in checkbox. We record the timestamp, method, and consent version for every subscriber.

Every marketing email includes a one-click unsubscribe link, and unsubscribes are processed immediately. You can also manage preferences at email preferences or email privacy@charitygrantwriter.com.

Are you CAN-SPAM compliant? (US users)

Yes. All outgoing emails from CharityGrantWriter comply with the CAN-SPAM Act, including:

  • Accurate sender identification ("Calvin D'souza" <hello@charitygrantwriter.com>)
  • Clear subject lines that reflect the email's content
  • A functioning unsubscribe link in every commercial email

  • Prompt honor of unsubscribe requests (processed within 10 business days)

Can I delete my account and all my data?

Yes. Account deletion is available directly in your account settings. Alternatively, email privacy@charitygrantwriter.com and we'll process the request within 2 business days.

Note: billing records are retained for 7 years as required by financial regulations, but all personally identifiable information is removed.

Do you store generated proposals? For how long?

Generated proposals are stored in your account for 12 months from creation so you can access and download them at any time. After 12 months they are automatically deleted. We recommend downloading any proposals you want to keep for your records.

What security measures protect my information?

We apply multiple layers of security:

  • Encryption at rest — all database data is encrypted
  • TLS in transit — all connections use HTTPS with modern TLS
  • Hashed passwords — passwords are never stored in plain text
  • Access controls — strict role-based access to production systems
  • Minimal data collection — we only collect what's needed to provide the service

No system is 100% secure. Please use a strong, unique password for your account.

Are you responsible for proposal outcomes?

No. CharityGrantWriter generates proposal drafts as a writing assistance tool. We accept no liability whatsoever for proposal outcomes, grant award decisions, funder responses, or submission results of any kind. Grant decisions are made solely by funders based on their own criteria and review processes.

You — the user — are solely responsible for reviewing all generated content, verifying its accuracy, customizing it for your organization, and any decisions about what to submit to a funder. Submitting a proposal to a funder is your action, not ours.

Supported Regions

What countries do you support?

CharityGrantWriter currently supports nonprofits and registered charities in the United States, Canada, and the United Kingdom. Grant opportunities, deadline alerts, and proposal drafts are all tailored to your country.

Do you have grants for Canadian nonprofits?

Yes. The database includes grants specifically for Canadian registered charities and nonprofits, including federal and provincial government grants, foundations operating in Canada, and cross-border funders accepting Canadian applicants.

Do you have grants for UK charities?

Yes. UK-registered charities and Community Interest Companies (CICs) are supported. The database includes grants from UK-based charitable trusts, lottery distributors, and government funders. Proposals are drafted in British English and follow UK grant writing conventions.

Are grant opportunities localized to my region?

Yes. Grant matches are automatically filtered by your organization's country and region. A nonprofit in British Columbia won't see grants restricted to US-based organizations, and vice versa. Within countries, state/provincial filtering is applied where funder eligibility specifies it.

Do you support nonprofits outside the US, Canada, and UK?

Not yet. Our current grant database is focused on the US, Canada, and UK. Organizations based elsewhere — including Australian, Irish, and New Zealand nonprofits — are not currently supported. We're actively evaluating which regions to expand to next. Let us know where you're based and we'll factor it into our roadmap.

Account & Profile

Do I need an account to try it?

You can browse the grant directory without an account. To receive personalized grant matches and generate proposal drafts, you'll need to create a free account and complete your organization intake profile — which takes about 5 minutes.

What information do I need to get started?

To generate your first grant matches, you'll need:

  • Your organization's name and country
  • Mission statement or brief description of your work
  • Primary focus area (education, health, environment, arts, etc.)
  • Annual operating budget (approximate is fine)
  • Organization type (registered nonprofit, charity, CBO, etc.)

The more detail you provide, the more tailored your matches and proposals will be.

How do I update my organization's profile?

You can update your organization profile at any time from your account settings. Changes take effect immediately for new grant matches and proposals — your existing drafts won't be altered retroactively.

What are weekly deadline alerts?

Every Monday, active subscribers receive a weekly email digest with upcoming grant deadlines that match their organization's profile. The digest highlights grants closing within the next 30 days so you can prioritize your application calendar.

Weekly digests are available on the Pro plan. You can manage your email preferences at any time.

Can I opt out of emails?

Yes. Every marketing and digest email includes a one-click unsubscribe link at the bottom. You can also manage your full email preferences at email-preferences, or email privacy@charitygrantwriter.com to update your settings.

Note: transactional emails (login links, billing receipts) cannot be disabled as they're required for account security and operation.

How do I delete my account?

Account deletion is available in your account settings under the "Danger Zone" section. Alternatively, email privacy@charitygrantwriter.com with your request and we'll process it within 2 business days.

Deleting your account removes your personal data, organization profile, and generated proposals. Billing records are retained for 7 years as required by financial regulations, with personally identifiable information removed.

How many grants are in your database?

The database currently contains 100+ active grants across the US, Canada, and UK. This includes foundation grants, government programs, and corporate giving initiatives. We focus on quality over volume — every grant in the database is verified, active, and accepting applications from nonprofits.

How often are new grants added?

New grant opportunities are added on an ongoing basis as they become available. Closed or expired grants are removed promptly. The database is reviewed and refreshed regularly to ensure accuracy.

How much time does this save compared to manual grant writing?
